covid-19 FAQ for exhibitors

Why does Easyfairs postpone Heroes Dutch Comic Con to 4 & 5 July 2020?

The Dutch government has decided to no longer allow events with more than 100 visitors to take place in the Netherlands until March 31. Because of this we are forced to move Heroes Dutch Comic Con.

The corona virus has a huge impact on the events industry and in this case specifically on Heroes Dutch Comic Con. We organize events where more than 40,000 people are attending per edition to share their passion, make new friendships, meet special guests and buy all kinds of merchandise items. The government does not allow Heroes Dutch Comic Con to pass on the initially planned date.

What does this mean for exhibitors? Will the agreement stay in place?

In a legal sense, the exhibitors and Easyfairs have an agreement with each other. Under the Terms and Conditions, Easyfairs has the right to postpone Heroes Dutch Comic Con. Easyfairs relies on a situation of force majeure. The virus spreads unpredictably and uncontrollably, causing developments to take place outside Easyfairs’ control.

As an exhibitor, can I cancel my participation and will I get a reimbursement?

It is possible to cancel your participation, however the obligation to pay your invoice remains. In the event that you have already made the payment, crediting is also not possible. This is because we are rescheduling the show to a later date as a result of a force majeure situation, as described in article 15 of Easyfairs’ General terms and Conditions.

Do I keep my place on the exhibition floor and my stand number?

All exhibitors in the Dealer Hall keep their place and their stand number. All other parties will be informed about the new situation in the coming period.

Will Easyfairs compensate me for the costs already incurred? For example, stand construction, transport and hotel costs.

Costs incurred for stand construction, transport and hotels are the responsibility of the exhibitor. Easyfairs will not offer any compensation for this. We realize that this is an additional expense for companies. Just as our exhibitors have to deal with costs, we also have to deal with large investments that we cannot claim.

Can Easyfairs just move the event without having to cancel my contract?

Yes that is allowed. This situation is mentioned in the General terms and Conditions, in which we rely on force majeure.

What will happen if it turns out that because of the COVID-19 virus it is still not responsible to have the event take place on July 4 & 5?

We have looked at a date that is as far away as possible, but not being to close to the date of winter edition of Heroes Dutch Comic Con. We are also highly dependent on the alternative dates that were offered by Jaarbeurs Utrecht. Of course we hope that the event can continue on the new dates, but if this is not the case, we will look into the alternatives once again.

Do I get a new confirmation of my participation?

No, the confirmation you received remains valid.

Do I keep my already placed additional orders?

Yes, the confirmation you have received remains valid, including additional items.
